STATE OF FRANKLIN HEALTHCARE ASSOCIATES IS CURRENTLY SEEKINGA FULL-TIME OFFICE ASSISTANT TO BE A PART OF OUR CENTRAL SERVICES TEAMSummaryThe Office Assistant (OA) will work under the supervision of the Office Supervisor (OS) and the Practice Administrator to support the provision of quality care in collaborative joint practice to patients and/or family members in the practice setting as requested. The OA performs functions related to check-in/out, telephone activities, patient accounts, pre-certification, may assist with scheduling, special projects and related work as assigned.Essential Duties and Responsibilities* Read, interpret, and apply clinic policies and procedures.* Follows company policy and procedures in collection activities.* Responds to correspondence by submitting copies of office notes, operative reports, etc. when requested. Coordinates efforts with SoFHA's Central Billing Office (CBO) to ensure claims are filed appropriately and accurately.* Works with the providers and CBO to ensure accuracy of coding and billing.* Performs other administrative duties as requested by supervisor or provider.* May be assigned to other areas of clinic as neededCheck-In* Greets and welcomes patients.* Reviews demographic and insurance information and updates patient records as necessary. Ensures new patients complete all required paperwork and acquires necessary documentation per clinic protocol.* Updates electronic medical records, scans and indexes documents in an orderly fashion.* Assists patients with payment procedures and privacy policies, along with answering any patient questions.Check-Out* Greets and addresses patients.* Schedules return appointments, when applicable, based on clinic policies.* Reviews patient documentation, patient balance, etc. to ensure that it has been accurately completed and documented.* May verifies changes and orders in electronic medical records and update status when needed.* Evaluates patient financial status and establishes budget payment plans.* Assists patients if the patient requests payment arrangements or has other inquiries regarding account balance.* Render charges per clinic policies.Telephones* Answers, screens, and routes calls to appropriate individuals.* Records and/or routes messages appropriately per clinic protocols.* Schedules, coordinates, and reschedules patient appointment.* May call to remind patients of their scheduled appointment.* Maintains clinic Provider scheduling guidelines as directed by Providers and/or supervisors.* Responds to emergency calls according to established protocols and procedures.Other* Compiles information and prepares reports.* Maintains records.* Participates in educational activities.* Follows organizational policies and procedures, including State of Franklin Healthcare Associates Compliance Manual, Code of Ethics and Business Standards, HR Policies and Procedures Manual, Team Member Handbook, OSHA Manual and any other policies or procedures for the job function, department, location or clinic.* Performs other duties as assigned.SupervisesN/AQualificationsEducationHigh school diploma or GED.ExperienceTwo or more years of experience in a physician office including patient check-in/out, charge entry, referrals, medical coding, billing and collections, procedure referrals and pre-certification. Work processing and related computer experience.
